TERMS + CONDITIONS
IF IN DOUBT, SIT THEM OUT!
We have a strict concussion policy: "If in doubt, sit them out." If concussion is suspected by the Race Director, the Medical Team, or the Chief Commissaire, the rider will not be allowed back on track unless they provide a letter from their doctor confirming their fitness to return to sport. This decision is final and is in accordance with AusCycling Policy. Riders and supporters do not have input into this decision. Riders, please look out for each other. If you observe a rider falling heavily or hitting their head, whether they are knocked out or appear disoriented, make a note of their race number and ensure they do not get back on their bike. As soon as possible, report their number to track marshals, medics, officials, or transport crew.
REFUND ELIGIBILITY
Concussion Policy: Refunds are only granted to riders who have a confirmed concussion or suspected concussion resulting from a previous race.

Concussion Protocol:
Riders with a suspected concussion will be required to sit out for a minimum of 21 days, in accordance with the AusCycling
Concussion Policy.
A rider must be signed fit to return to riding by a medical professional prior to participating in any subsequent races, regardless of the number of days elapsed since the concussion.
CONDITIONS
Medical Clearance: Riders must have medical clearance to return to riding before participating in any subsequent races. This clearance must be provided to the event organisers prior to the next race.

Non-Refundable Fees: Any administrative or processing fees associated with the registration may not be refundable.

Deadline: Refund requests must be submitted by the Monday prior to the event Requests submitted outside this period will not be eligible for a refund.

Season Pass Holders: There are no refunds available for season pass holders
REFUND PROCEDURE
Notification: Riders must notify VDHS as soon as possible if they have a concussion or suspected concussion and are seeking a refund. This notification should include:
Medical documentation or a note from a healthcare provider confirming the concussion or suspected concussion.
Evidence of the 21-day sit-out period, including any relevant medical advice or documentation.
Documentation: Provide all required medical documentation and any additional information as requested by the event organizers to support the refund request.
Application: Submit a formal refund request in writing, along with the medical documentation, to the event organizers.
